Why Google Workspace Pooled Storage isn’t updating

When managing a Google Workspace domain, changes to your storage—such as deleting hundreds of gigabytes of data, purging Shared Drive trash, or purchasing additional user licenses—rarely show up right away. Administrators often notice that the tenant storage meter in the Admin Console remains stuck, or users continue seeing “Account storage full” warnings long after files are deleted. This lag occurs because Google Workspace calculates pooled storage metrics using asynchronous, domain-wide batch jobs rather than real-time calculations.

Quick Answer

Google Workspace Admin Console storage reporting operates on a 24-to-48-hour batch synchronization cycle. Deletions and newly added licenses will not reflect immediately. Furthermore, deleted files continue consuming pooled storage until they are permanently removed from the 30-day user Trash, purged from Shared Drive trash, or released by Google Vault retention holds.

How Pooled Storage Accounting Works

In Google Workspace (Business Starter, Standard, Plus, and Enterprise tiers), storage is not locked to individual silos. It is pooled across the entire domain. For example, a company with 10 Business Standard users has a shared pool of 20 TB (2 TB per user).

When storage usage metrics fail to update as expected, the issue usually stems from one of four areas:

Tenant Pooled Storage Flow:
[User Deletes File] ──► [File Sits in 30-Day Trash] (Still Consumes Quota)
                              │
                    [Admin / User Empties Trash]
                              │
[Vault Hold Check] ──► Active Hold? (Storage Retained)
                              │ No
[Google 24-48hr Batch Job Runs] ──► Storage Meter Updates

Primary Causes of Stalled Workspace Storage Metrics

1. The 24-to-48-Hour Reporting Latency

The storage charts found in Admin Console (admin.google.com) > Storage are not updated in real time.

  • Google compiles domain-wide storage reports through background indexing jobs that run once every 24 hours.
  • During periods of high infrastructure demand or after massive domain migrations, this reporting pipeline can take up to 48 hours to recalculate metrics across all data centers.
  • The Reality: A user might have 0 bytes of active data left, but the Admin Console user list will continue reporting their previous usage until the overnight batch job completes. For an in-depth breakdown of this reporting delay, see Resolving the 24-Hour Latency in Storage Reporting.

2. Unpurged User and Shared Drive Trash

Moving a file to the Trash bin does not reclaim pooled storage space.

  • Files in the Trash continue to count against the organization’s pooled quota for 30 days, until Google’s automated purge deletes them permanently.
  • In Shared Drives, deleted files remain in the Shared Drive’s hidden trash bin, continuing to consume organizational capacity.
  • The Fix: Users must open their Trash and click Empty trash. For Shared Drives, a Manager must open the drive, navigate to Trash, and select Empty trash. To track down which specific Shared Drives are consuming your organization’s storage, follow How to find the “Storage hog” in a Shared Drive. For details on trash retention behavior, see Why Drive Trash is still counting against your quota.

3. Google Vault Retention Holds

If your organization uses Google Vault for legal compliance and eDiscovery, retention rules can override user deletions.

  • If an active Vault Retention Rule or Legal Hold covers Google Drive files for an Organizational Unit (OU), deleting a file only removes it from the user’s view.
  • Google Workspace retains the underlying data in backend storage for legal discovery, preventing the storage pool from reclaiming that space until the hold expires or is lifted.

4. Organizational Unit (OU) Policy Caps

Sometimes the domain-wide pooled storage meter shows plenty of free space, but individual users still cannot upload files or receive emails.

  • Administrators can set custom storage limits per Organizational Unit.
  • If the domain has 10 TB of free pooled space, but the “Sales” OU is hard-capped at 30 GB per user, any sales representative who hits 30 GB will be blocked from uploading new files.
  • Check these caps by navigating to Admin Console > Storage > Storage settings > Manage storage limits.

5. License Assignment Delays

Purchasing additional Google Workspace licenses automatically increases your tenant’s total pooled storage ceiling. However, if those licenses are not assigned to active user accounts, or if payment verification is pending, the added storage pool will not activate. If you recently purchased new seats, consult How to Fix “License Assignment Lag”.
