“Maximum bookings reached” (Daily Limit)

The “Maximum bookings reached” error occurs when a Google Appointment Schedule reaches the maximum number of appointments permitted for a single day. Once this limit is reached, Google Calendar automatically hides all remaining open windows for that date on the public booking page. Clients attempting to book see an error message stating that no more appointments can be accepted for the selected day.

Fast-Fix: The 45-Second Solution

The “Maximum bookings reached” message occurs when an appointment schedule hits its configured daily booking cap. To resolve this, open Google Calendar, edit the appointment schedule, expand “Scheduling window” or “Booking limits,” and increase or disable the “Maximum bookings per day” setting. Save changes to reopen remaining time slots immediately. Risk: Low (Scheduling block).

Quick Risk Snapshot

  • Severity: Moderate (Prevents new appointments on affected dates, but preserves existing bookings).
  • Safe to Accept Bookings?: Yes (For future dates that have not reached their daily cap).
  • Primary Cause: Reaching the user-defined “Maximum bookings per day” threshold in Appointment Schedule settings.
  • Rare Cause: Cancelled or declined appointments failing to free up quota due to pending invite status or sync delays.

How Daily Booking Limits Work

Google Appointment Schedules process daily limits like a physical turnstile at a venue entrance. When you define a daily maximum, for example, five meetings per day, the scheduling engine places five digital tokens in that day’s pool.

Each time a client completes a booking, the engine takes one token out of circulation. Once the last token is handed out, the turnstile locks. Even if your underlying primary calendar has three hours of unbooked, open space remaining, the scheduling engine refuses to display those blocks because the token count for that 24-hour cycle is zero.

What This Is Confused With

What To Do Right Now

  1. Open Schedule Settings: Navigate to Google Calendar on desktop, click on the affected Appointment Schedule block, and select the Edit icon (pencil).
  2. Locate Booking Limits: Expand the Scheduling window or Booking limits section inside the schedule editor sidebar.
  3. Adjust or Disable Maximum Bookings:
    • To allow more appointments, increase the number in the Maximum bookings per day field.
    • To remove the daily cap entirely, uncheck the box next to Maximum bookings per day.
  4. Purge Cancelled Events: Check your primary calendar for declined or cancelled appointment events on that date. Permanently delete them from your calendar view so the scheduling engine reclaims the open slot.
  5. Save and Refresh: Click Save. Open the public booking link in an incognito window to verify that open time slots appear on the target date.

Hard-Stop Triggers

Contact your Google Workspace Administrator or support if:

  • The appointment schedule settings fail to save, throwing a persistent “Server Error” message.
  • Increasing the daily limit does not reveal open slots even though your primary calendar is completely empty for that date.
  • The booking page reports “Maximum bookings reached” across all future dates endlessly, regardless of calendar availability.

Workspace Assessment

The “Maximum bookings reached” message is a safety feature designed to prevent meeting fatigue, not a technical bug. Adjusting the daily booking cap or removing declined events from your calendar view immediately re-opens your schedule to clients.
